The Refectory Restaurant
How We Tripled Monthly Google Reviews and Increased Our Rating from 4.3★ to 4.7★ Without Asking Every Guest
Client Snapshot
Restaurant: The Refectory Restaurant
Location: Columbus, Ohio
Cuisine: Contemporary American with Classic French Influence
Restaurant Type: Fine Dining
Campaign Duration: 6 Months
Primary Goal: Increase Google reviews consistently while improving local visibility and guest trust.
The Situation
The Refectory wasn’t struggling to attract guests.
For decades, it had built a reputation as one of Columbus’ premier fine dining destinations, combining French culinary tradition with contemporary American cuisine, an award-winning wine cellar, and exceptional service.
The restaurant already welcomed a healthy number of diners every month.
Guests consistently complimented the food.
The ambience reflected decades of refinement.
Special events and private dining continued bringing new visitors through the doors.
Yet one important metric had quietly started moving in the wrong direction.
The number of new Google reviews being generated each month had steadily declined.
At first glance, this didn’t seem like a major concern.
The restaurant still had over one thousand reviews and maintained a respectable rating.
However, Google doesn’t simply evaluate how many reviews a business has.
It also evaluates how consistently new reviews are being generated.
When fresh reviews slow down, even a well-established restaurant can gradually lose visibility against competitors receiving a steady stream of recent customer feedback.
At the same time, customer acquisition costs across paid advertising channels continued increasing.
Rather than relying solely on increasingly expensive acquisition campaigns, the restaurant wanted to strengthen one of the most trusted forms of marketing available:
Authentic guest reviews.
The Challenge
Before launching the campaign, the restaurant faced three interconnected challenges.
Review Velocity Had Declined
Although the restaurant maintained an excellent reputation, review activity had slowed considerably.
During October 2025 the restaurant averaged just:
- 16 new Google reviews per month
For a restaurant already serving thousands of guests annually, this represented a significant missed opportunity.
Negative Reviews Had Greater Impact
When only a small number of new reviews arrive each month, every negative review carries greater weight.
One poor experience can influence the average rating more dramatically than when dozens of satisfied guests are also sharing their experiences.
The objective wasn’t to hide negative reviews.
It was to ensure the restaurant’s overall online reputation more accurately reflected the experience most guests were already having.
Local Visibility Was Beginning to Plateau
Google Business Profile performance depends on more than ratings alone.
Fresh reviews signal that a business remains active, relevant, and trusted.
Without a consistent review generation process, local visibility naturally becomes more difficult to maintain.
For a restaurant competing in Columbus’ fine dining market, that represented lost opportunities to attract first-time diners searching nearby.
What We Found
After reviewing the restaurant’s customer journey, one insight stood out.
The restaurant wasn’t receiving fewer compliments.
It was receiving fewer documented compliments.
Guests regularly expressed appreciation to servers.
Many thanked managers before leaving.
Others recommended the restaurant to friends.
Very few were being guided toward leaving those same comments on Google.
The issue wasn’t guest satisfaction.
The issue was the absence of a structured review generation system.
Our Strategy
Rather than relying on a single tactic, we built multiple review opportunities throughout the guest journey.
The objective wasn’t to pressure guests into leaving reviews.
It was to make leaving feedback effortless while the dining experience was still fresh.
Every review request was designed to feel natural, timely, and respectful.
In-Restaurant Review Requests
The first opportunity occurred during the dining experience itself.
We introduced discreet QR codes placed on guest tables, allowing satisfied diners to leave feedback immediately if they wished.
Rather than interrupting service, the QR codes simply removed friction from the process.
Delivery Packaging
Guests ordering takeaway or delivery also represented valuable review opportunities.
Printed review invitations were added directly onto delivery packaging, allowing customers to share their experience after enjoying their meal at home.
Staff Training
Technology alone rarely creates consistent review growth.
People do.
Staff members were trained to identify positive guest interactions and politely invite reviews only when guests appeared genuinely satisfied with their experience.
This prevented review requests from feeling forced or scripted.
Instead, they became a natural extension of good hospitality.
Automated Follow-Up
While each of the previous methods contributed to review growth, one channel consistently outperformed the others.
Automated SMS and email follow-ups.
After a guest’s visit, carefully written follow-up messages thanked them for dining at the restaurant and invited them to leave honest feedback on Google.
Because the request arrived shortly after the visit, while memories were still fresh, response rates remained consistently strong.
More importantly, automation ensured the process happened every day—not only when staff remembered to ask.

Results
After six months, the restaurant established a far more consistent review generation system.
Instead of relying on occasional guest feedback, reviews became a predictable operational process.

Although the primary objective wasn’t simply collecting more reviews, the stronger review velocity contributed to greater visibility for diners researching restaurants online.
Why We Didn’t Chase Hundreds of Reviews Overnight
One of the biggest misconceptions surrounding review generation is that more reviews as quickly as possible always produce better results.
In reality, that’s rarely the case.
Google actively monitors unusual review activity.
Large spikes in reviews that don’t reflect normal customer behaviour can appear unnatural and may reduce trust in the authenticity of those reviews.
Rather than encouraging every guest to leave feedback immediately, we focused on creating a sustainable review system.
The objective was consistency.
Not volume.
By maintaining a steady stream of genuine reviews month after month, the restaurant built stronger credibility while aligning with the natural patterns Google expects to see from healthy businesses.
Why This Worked
Most restaurants don’t struggle because guests are unhappy.
They struggle because happy guests leave silently.
Satisfied customers pay the bill.
Thank the staff.
Leave.
Life moves on.
Without a simple reminder, even exceptional experiences rarely become online reviews.
By introducing review requests at multiple moments throughout the customer journey and reinforcing them through automated follow-up the restaurant dramatically increased the percentage of satisfied guests who shared their experience publicly.
The campaign didn’t improve guest satisfaction.
It improved the restaurant’s ability to capture the satisfaction that already existed.
Business Impact
This campaign wasn’t about collecting stars.
It was about influencing purchasing decisions before guests ever entered the restaurant.
When prospective diners compare restaurants, reviews often become one of the strongest deciding factors.
A higher rating supported by a steady flow of recent reviews creates greater confidence.
Greater confidence increases clicks.
More clicks create more profile visits.
More profile visits create more reservations, walk-ins, and first-time guests.
Review generation wasn’t treated as a reputation project.
It became part of the restaurant’s customer acquisition strategy.
Key Takeaways
This campaign reinforced several principles that apply to almost every restaurant.
- Great experiences don’t automatically generate reviews.
- Consistency matters more than sudden spikes.
- Staff involvement significantly improves review generation.
- Automated SMS and email follow-ups create reliable long-term results.
- Fresh reviews influence both guest trust and local visibility.
Review generation should be treated as an operational system rather than a one-time marketing campaign.
